World Travel Holdings is seeking an Executive Assistant to support one of our Co-CEO’s.  This role involves extensive travel planning so experience in corporate travel and loyalty programs is absolutely required. You will also interact with people at all levels including our senior leadership team and leaders of other well-known companies making the ability to work with a high level of professionalism and confidentiality crucial.

Responsibilities

  • Book travel, both domestic and international, for the CEO and family. All travel arrangements are booked personally, and not with a corporate travel agency
  • Manage loyalty accounts and points programs, and utilize when booking travel to maximize both earning and redemption opportunities
  • Monitor travel real time and proactively address any issues and communicate delays, changes and solutions
  • Coordinate CEO’s time including managing calendar for both internal and external events/meetings, as well as personal engagements and appointments
  • Maximize CEO’s time, e.g. screen/prioritize appointment requests to assist CEO in managing time effectively, arrange amenities for meetings, etc
  • Prepare correspondence and other materials for CEO including thank you letters, emails, etc
  • Update CEO contact information and tasks
  • Prepare expense reports and reconcile credit card bills
  • Manage personal financial accounts and obligations including but not limited to car leases, insurance policies, bills from house hold vendors, etc
  • Coordinate annual Partner Brand cruise and attend if needed
  • Pro-actively analyze and solve issues

Qualifications

  • 10+ years supporting a C-level executive of a medium to large company
  • Significant first-hand experience booking complex travel using a variety of currencies, i.e. points, miles, etc.
  • Effective in “managing up” by making others more effective
  • Proactive, self-motivated and willing and able to work without a lot of direction
  • Detailed planner with the ability to structure large and multifaceted workload in a manageable manner
  • Quick learner; able to get up to speed on new issues fast and move forward with them
  • Proven ability to handle sensitive information, maintain a high level of confidentiality and remain positive under extreme pressure
  • Exemplary written and verbal communication skills
  • Strong sense of urgency with ability to make decisions in ambiguous situations while knowing when to get input from management
  • Flexibility with hours, ability to work from home in the Long Island, NY area and available to meet with Co-CEO at a home office on a regular basis and travel on business as needed
